How to Choose a Managed IT Provider in Australia

There are hundreds of managed IT providers in Australia. Some are brilliant. Some will lock you into a contract and disappear until renewal. Here's how to tell the difference.

I run an MSP, so take this with whatever grain of salt you like. But I've also seen what happens when businesses pick the wrong provider, and it's almost always the same mistakes.

Ask what stack they specialise in

"We do everything" is a red flag. Every good MSP has a core platform they know inside out. For us, it's Microsoft 365 — that's our bread and butter. We know the licensing, the security tools, the admin quirks, and the roadmap.

If you're a Microsoft shop, you want an MSP that lives in the Microsoft ecosystem. If you're Google Workspace, find someone who specialises in that. A generalist will get your email working but won't know how to configure Conditional Access or set up Intune properly.

Understand the contract

Some things to look for:

  • Lock-in period. Anything over 12 months should come with a good reason. We've seen businesses stuck in 36-month contracts with providers who stopped caring after month three.

  • What's included vs what's extra. "Unlimited support" sometimes means unlimited tickets that sit in a queue. Ask what their average response time is. Ask what falls outside the scope.

  • Exit terms. What happens if you want to leave? Do they hand over documentation and admin access cleanly, or do they hold your environment hostage?

Check if they do projects too

Your IT needs will change. You'll want to roll out new tools, migrate systems, or tighten up security. If your MSP only does break-fix support and can't deliver projects, you'll end up managing two vendors.

We run managed services alongside project work — Copilot rollouts, SharePoint modernisation, security uplift. Same team, same context, no handover friction.

Regional and remote capability

If you're outside a capital city, this matters. A lot of MSPs are Sydney or Melbourne-centric and treat regional clients as an afterthought.

Ask how they handle on-site work if you need it. Ask about their support hours relative to your time zone. Ask if they've got other clients in regional areas — that tells you whether they understand the constraints (like limited internet options and smaller teams wearing multiple hats).

Talk to their existing clients

Any MSP worth their salt will give you a reference. Ask the reference two things: "How are they when something breaks at 4pm on a Friday?" and "Have they ever told you not to buy something?" The first tells you about their support under pressure. The second tells you whether they're selling to you or advising you.

What we'd tell you

We're not the right fit for everyone. If you need a full cybersecurity operations centre with 24/7 SOC monitoring, that's not us. If you need someone to manage your AWS or Google Cloud infrastructure, that's not us either.

What we do is Microsoft 365 managed services for Australian businesses. Day-to-day support, security configuration using the tools already in your M365 licence, Copilot and SharePoint projects, and honest advice about what you actually need.

If that sounds like what you're after, have a chat with us. If not, no hard feelings — hopefully this guide helps you find the right provider.
